Our approach

We run this website and the systems behind it on our own servers in data centres in Germany. We use no advertising or tracking cookies, no third-party analytics and no embedded content from other providers. Fonts and scripts are loaded from our own server.

Hosting and server logs

Our servers are provided by Contabo GmbH, Aschauer Straße 32a, 81549 Munich, Germany, in data centres in Germany. Contabo processes data on our behalf. When you visit the website, our server processes technically necessary data such as IP address, date and time, requested page and browser identifier in order to deliver the website and protect it against abuse. The legal basis is Art. 6(1)(f) GDPR. Logs are deleted after 14 days at the latest unless needed to investigate a security incident.

Booking and contact form

When you book a call or write to us, we process your details (name, email, company, optionally phone and message, chosen time) in our own CRM system running on our servers in Germany. The booking confirmation and the video link are sent via our own mail server. The video call takes place on our own system. The legal basis is Art. 6(1)(b) GDPR (steps prior to a contract). We keep the data as long as needed to handle your request and a possible collaboration, and beyond that only as required by statutory retention duties.

For our newsletter we use the software Listmonk, which we run ourselves on our own server in Germany. The emails are sent via our own mail server. No external newsletter provider is involved.

All you need to subscribe is your email address. We use the double opt-in procedure: after subscribing you receive an email with a confirmation link, and you only receive the newsletter once you have confirmed. We store your email address, the time of subscription and confirmation, and the status of your subscription. The legal basis is your consent under Art. 6(1)(a) GDPR.

You can unsubscribe at any time, using the link in every issue or by writing to privacy@zen-it.digital. This withdraws your consent for the future. Using the same link you can also export or delete your stored data yourself. We only count opens and clicks as totals per issue, not per recipient. There is no individual analysis.

Spam protection

We protect forms with ALTCHA, which runs on our own server. Your browser solves a small computational task. No cookies are set and no data is passed to third parties. The legal basis is Art. 6(1)(f) GDPR.

Status display

The status display on the home page is loaded by our server from our own monitoring system. No personal data about you is processed for this.

Client portal

We run a client portal on our own server. Which data is processed there is governed by the respective contract, including the data processing agreement.

Your rights

You have the right of access (Art. 15 GDPR), rectification (Art. 16), erasure (Art. 17), restriction of processing (Art. 18), data portability (Art. 20) and to object to processing based on legitimate interests (Art. 21). Write to privacy@zen-it.digital. You can also lodge a complaint with a data protection supervisory authority, in particular in the member state of your residence or place of work.

Transfers to third countries

The data of this website and our systems is stored in Germany. As our company is based in the USA, access from the USA may occur. We ensure appropriate safeguards under Art. 44 et seq. GDPR.

We update this policy when our website or the law changes. The version published here applies.
